Overview

The Patient Enrollment Portal “PEP” is the preferred Circles patient enrollment and Case creation solution. It is designed to minimize inCytes™ charges and administrative burden for clinicians. At the same time, it helps ensure Part 11 and GCP compliance, which in turn enhances the clinical and financial value of an Investigator’s proprietary Circles datasets.

Each PEP is a custom webpage customized for each Circle Investigator. Once the Investigator determines the Circle to which he wishes to assign a patient, he so informs the patient. Then, the Patient accesses the PEP website to complete the enrollment, study consent form execution, and baseline survey process without administrative support.

Each PEP is easily integrated into an in-office brochure or tablet, making it a simple, secure and minimally burdensome method of obtaining patient registration, consent and baseline survey completion. Consistent with Good Clinical Practice, the patient preferably completes the PEP process in the Investigator’s office before or shortly after the relevant clinical procedure. Where this is not possible, the Investigator can use its existing CRM system to send reminders to the patient, containing the PEP link.

How It Works

  1. We prepare for each Subscriber a white-label PEP and corresponding in-office brochure at no charge.
  2. After diagnosis, the doctor determines the Circle to which it wishes to assign the patient. He or his office staff so informs the patient.
  3. Using his own device to scan the QR code on the in-office brochure, or the tablet provided by the Investigator’s office, the patient accesses the PEP site and selects the Circle assigned by the Investigator. Each PEP presents a clear image + link for each of the Subscriber’s eligible Circles.
  4. The remaining patient registration process and baseline survey completion process remains the same.

Delivery Options

The PEP is accessed through a URL, which can be presented to eligible patients through an in-office brochure, or a dedicated in-office tablet.

When using an in-office tablet, the patient must logout after completing its session.

When the patient is unable to complete the registration and baseline survey in the office, the Investigator can use its existing CRM system to send reminders to the patient, containing the PEP link.
